Business Operations SaaS

Systemize Ops

Centralizes inventory, purchasing, sales, credit, delivery, and operational workflows for growing inventory-based businesses.

Context

Business / Industry Context

Systemize Ops is built for inventory-based businesses such as hardware stores, wholesalers, supply businesses, auto parts sellers, agricultural suppliers, and specialty retailers that need better visibility across stock, purchasing, sales, customer credit, deliveries, and day-to-day operations.

Problem

Growing inventory-based businesses often manage products, purchasing, stock, sales, customer credit, deliveries, and reporting across spreadsheets, notebooks, and disconnected tools. As operations grow, this can make it harder to track stock movements, coordinate purchasing, monitor customer balances, manage deliveries, and maintain a reliable view of daily business activity.

Goals

  • Centralize core operational workflows in one system.
  • Improve visibility across products, inventory, purchasing, sales, credit, and deliveries.
  • Support businesses operating across multiple warehouses and branches.
  • Maintain traceable inventory movements and transaction history.
  • Give owners and staff role-based access to the workflows relevant to them.
  • Provide operational reports for sales, inventory, supplier pricing, customers, expiry, and cost and margin.

Users / Roles

  • Business owners and managers
  • Purchasing staff
  • Inventory and warehouse staff
  • Sales and cashier staff
  • Credit and collections staff
  • Delivery and operations staff

Core Workflows

  • Product, category, unit, SKU, barcode, and pricing management
  • Supplier management and supplier price history
  • Purchase lists and purchase orders
  • Partial and full goods receiving
  • Warehouse inventory, stock adjustments, transfers, batches, and expiry tracking
  • Quotations, customer orders, and sales transactions
  • Customer credit, payments, credit notes, balances, and aging
  • Delivery scheduling, dispatch, completion, failure, and rescheduling
  • Workspace tasks and operational work queues
  • Sales, inventory, expiry, cost and margin, customer, and supplier pricing reports

Solution

Built a multi-tenant business operations platform that connects purchasing, receiving, inventory, sales, customer credit, deliveries, workspace tasks, and reporting in one system. The platform is designed around operational handoffs, allowing information created in one workflow to continue into the next instead of being re-entered across separate tools.

Key Modules

  • Products and catalog management
  • Inventory and warehouse operations
  • Suppliers
  • Purchase Lists and Purchase Orders
  • Goods Receiving
  • Quotations and Customer Orders
  • Sales and Returns
  • Customer Credit and Collections
  • Delivery Management
  • Workspace Tasks and Work Queue
  • Operational Reports
  • Business, branch, warehouse, user, and access settings

Result / Impact

  • Created a connected operating workflow from purchasing and receiving through inventory, sales, credit, delivery, and reporting.
  • Reduced reliance on separate spreadsheets and disconnected operational records within the system design.
  • Provided clearer stock movement history across warehouses and transactions.
  • Created a flexible SaaS foundation that can support different inventory-based business types, team roles, branches, and warehouses.
  • Established a scalable base for future operational features such as cash management, stock counting, expenses, and deeper financial controls.

What I Learned / Design Decisions

  • Designed workflows around the actual movement of goods and operational records instead of treating each module as an isolated feature.
  • Used append-only inventory movements so receiving, sales, returns, adjustments, and transfers remain traceable.
  • Kept purchasing cost history separate from inventory valuation and sales history to support more reliable reporting.
  • Connected quotations, orders, sales, customer credit, collections, and deliveries instead of maintaining separate records for each workflow.
  • Designed module access, permissions, and subscription entitlements separately so businesses can start with simpler workflows and expand as their operations grow.
  • Kept the platform focused on business operations rather than prematurely expanding into full accounting, payroll, or HR software.
